This position is within Reynolds American Services Company—a subsidiary that provides support services, including compliance, HR, law, finance, information management, and more to all of the subsidiaries of RAI.
The Administrative Coordinator role will provide direct support to the Scientific & Regulatory Affairs (S&RA) team.
To effectively execute the job responsibilities, the Administrative Coordinator should demonstrate proficiency in all administrative functions. They should be proficient in all departmental office technology, as well as maintain knowledge of various programs and projects specific to the S&RA team.
The Administrative Coordinator position requires strong organizational skills, a heightened sensitivity to deadlines and a high degree of professionalism. The position requires the ability to function as an individual contributor in a team environment, and to effectively manage competing priorities in order to accomplish a variety of goals.
The Administrative Coordinator will:
Provide general administrative support to the Scientific & Regulatory Affairs department, including:
Management of interoffice mail process
Provisioning for new employees
Coordinating logistics for departmental meetings
Coordinating with technicians for copy machine support
General administrative support for S&RA team members, including the SVP Scientific & Regulatory Affairs
Providing administrative support on a variety of S&RA related tasks and projects, including:
Set up and maintain files which are organized chronologically, numerically and/or by subject matter.
Organize interview memos, digests and other relevant documents for review by team members for use in legal and administrative proceedings.
Work with team members in the preparation of all documents for filing with the appropriate courts and administrative agencies. Create, bind and distribute documents, and maintain company records of all filings and submissions.
High School diploma required
Associate or Bachelor's degree or equivalent experience in a law firm or corporate legal/compliance department preferred.
Excellent organizational skills with the ability to adapt to change quickly and multi-task assignments.
Ability to work independently in a fast paced environment.
Strong working knowledge of Microsoft applications (Word, PowerPoint, Excel).
SharePoint administration experience a plus.
Strong interpersonal skills.
Strong problem analysis and problem solving skills.
Excellent oral and written communication skills.
Ability to work a flexible schedule when workloads and deadlines require.
