ROLE POSITIONING AND OBJECTIVES

This role is part of Scientific Research & Development - PRRP Science

The role is responsible for The Executive Administrative Assistant/Coordinator role will provide key administrative support to the Scientific Research & Development (SR&D) function, and specifically support the EVP Scientific Research & Development. This role may also support other members of the Reynolds American Management Team.

To effectively execute the job responsibilities, the Administrative Assistant/Coordinator should demonstrate expertise in all administrative functions. They should be proficient in all departmental office technology. In addition, they should be able to maintain knowledge of various programs and projects specific to the SR&D team simultaneously. As this role will support the EVP Scientific Research & Development, the role will also be expected to support various Management Team initiatives. The position requires strong organizational skills, a heightened sensitivity to deadlines, the ability to execute with speed and accuracy, to navigate change and possess a high degree of professionalism. The position requires the ability to function as an individual contributor in a team environment, and to effectively manage competing priorities to accomplish a variety of goals. It will be important that the successful candidate work pro-actively and independently.

WHAT YOU WILL BE ACCOUNTABLE FOR

  • Pro-active management of complex calendars including arranging and rearranging appointments as needed for internal and external stakeholders.

  • Support the planning and coordination of domestic and international travel logistics; including airlines, hotels, and transportation - and take initiative to collect travel receipts and submit expense reimbursement requests promptly.

  • Handle incoming and outgoing phone and electronic communications while exercising and maintaining the highest level of confidentiality.

  • Organize, prioritize, and execute administrative tasks and projects as requested by the EVP Scientific Research & Development and the SR&D Leadership team.

  • Work closely and collaborate with the Executive Assistants for other leaders and other colleagues in support of special assignments, including coordinating details and logistics for Reynolds American Management Team meetings and events.

  • Superior prioritization, organization, proofreading, and office administration skills.

  • High degree of initiative and the capacity to anticipate the needs of professionals.

  • Workload management; manage multiple assignments with a strong focus on organization and prioritization.

ESSENTIAL EXPERIENCE, SKILLS AND KNOWLEDGE

  • Minimum of 5-7 years administrative experience supporting multiple functional leaders; experience supporting c-suite level executives highly preferred.

  • Experience providing administrative support to an Executive in a matrixed multi-national corporation preferred.

  • Experience coordinating meetings at events and international travel preferred

  • Excellent organizational skills with the ability to quickly adapt to changing priorities and ability to manage multi-task assignments.

  • Highly collaborative, professional partner with the ability to work as a team player and mutually support and work effectively with individuals at all levels of the organization.

  • Must manage own performance independently and effectively with excellent time management skills

  • Ability to work a flexible schedule when workloads and deadlines require.

BENEFICIAL

  • High School diploma required, Associate or bachelor’s degree preferred.

  • Outstanding proficiency in Microsoft applications (Word, PowerPoint, Excel, Teams); ability to troubleshoot basic software issues and learn new systems quickly.
